Position Description:

The Exeucitve Assistant will provide assistance to one of our senior executives. Duties may include clerical assistance with correspondence; assistance with marketing material, financial analysis, as well as routine office related functions. Assistance with personal related items may also be included. Paralegal experience strongly preferred. 

Essential Responsibilities:

Duties:

  • Assist with respective schedules (planning/arranging events and meetings).
  • Handle telephone calls from both internal and external sources.
  • Provide administrative support in a variety of capacities including telephone coverage, processing of letters/correspondence, calendar management, events/meeting planning, report generation, invoice/expense reporting, database management, mail handling, supplies control and assisting with completion of specially assigned projects.
  • Perform special projects as assigned.
  • Demonstrate the ability to handle multiple tasks with little or no supervision.
  • Perform regular updates to spreadsheets, understanding numbers and working with financial planning software (e.g. QuickBooks).
  • Position may be required to perform duties outside their normal responsibilities as needed and when requested.
Qualifications and Competencies:

• Paralegal experience strongly preferred. 

• Must have prior executive assistant experience. Bachelors’ Degree required.

• Ability to interface well with all departments within the company and to represent our senior executives in a highly professional manner.

• Ability to communicate effectively and professionally with clients, senior level executives, employees and external contacts to the organization.

• Must have a high degree of proficiency working with Microsoft Office products including Word, Excel and Power Point. Knowledge of QuickBooks is preferred.

• Ability to exercise good judgment and to maintain the highest level of confidentiality. Ability to handle sensitive material concerning the organization and the vice chairman’s role within the organization.

• Ability to handle multiple tasks simultaneously and understand how to prioritize. Must have exceptional organizational skills.

• Ability to wear many hats and meet designated deadlines.
